When stock levels and bookkeeping drift apart

In retail, most of the trouble comes from the gaps between systems. Stock lives in a spreadsheet, invoices in an invoicing tool, receipts in a folder. As soon as a return arrives or a delivery is incomplete, none of the three sources agrees any more. Buchungsfluss brings goods movements and invoicing into one system: every goods receipt, every sale and every delivery note adjusts the stock level. You read the figure off the product instead of maintaining it in three places.

From goods receipt to e-invoice

The workflow stays the same whether you sell through your own shop, a marketplace or over the counter. Book the goods receipt, keep products with stock and storage location, create delivery note and invoice when you sell. For business customers and public authorities the invoice is created directly as an e-invoice in ZUGFeRD or XRechnung format, with no extra software. Supplier invoices are captured by photo, text recognition picks up amount, date and supplier. At year end everything your accountant needs is already together.

What matters for tax in retail

Anyone trading goods has to document movements in a traceable way. German GoBD rules require records to be unalterable and complete. That is why Buchungsfluss locks invoices instead of leaving them deletable: corrections run through cancellation and reissue, exactly as the tax office expects. For small businesses under section 19 of the German VAT act the software shows no VAT and adds the required note automatically. For the annual accounts you export income surplus, DATEV or CSV, so your accountant receives a clean data set.

Frequently asked questions

Does Buchungsfluss replace a full inventory management system?

For small and mid-sized retailers, yes. You manage products with stock levels and storage locations, book incoming and outgoing goods, create delivery notes and invoice. What it deliberately does not cover is multi-stage manufacturing or complex batch tracking.

Do stock levels update automatically?

Yes. A sale or delivery note books the quantity out, a goods receipt books it in. Every movement is logged, so you can trace why a stock level differs from last week.

Can I send e-invoices to business customers?

Yes, in ZUGFeRD and XRechnung format. Since the beginning of 2025 every company in Germany must be able to receive e-invoices, and sending obligations phase in over time. You are prepared on both sides.

How do I move data over from my current program?

Through a CSV file. Customers, products and invoices can be imported, you map the columns once. Stock levels from a spreadsheet come across the same way.

Do I need a specific plan for inventory and shipping?

Inventory management is part of the Business plan. Delivery notes and shipping can be added to smaller plans as an add-on, so you only pay for what you use.
