What your day looks like

1

Time tracked on site, billed at night

You record hours on the job and pull them into the invoice that evening.

2

Quote accepted, invoice ready

The quote becomes the invoice without re-entering line items.

3

Longer project, running part-payments

Part invoices on the go; the final invoice deducts them cleanly.

Why it pays off

  • Hours worked get billed because time tracking and invoicing are connected.
  • Quote, time and invoice hang off one process, so you retype nothing.
  • The final invoice deducts the part-payments already made, even on longer projects.

The hours that never make it onto an invoice

The most common loss in the trades is unbilled work. Two hours of rework here, a call-out there, noted on a slip that no longer turns up in the evening. Buchungsfluss attaches time tracking to the job: you record hours where they happen and pull them into the invoice with one click. What you record ends up on the invoice. In many businesses that decides whether a month comes out comfortable or tight.

Quote, job and invoice are one process

Writing a quote only pays off if it turns into an invoice without extra work. In Buchungsfluss you convert an accepted quote with one click and all line items and customer data come along. If the scope changes you adjust instead of retyping. On longer projects you issue partial invoices, and the final invoice deducts the amounts already paid. This is where mistakes creep in and show up later in an audit.

Capture receipts on the road, taxes at year end

Hardware store receipts, fuel slips, materials: they pile up in the van and get lost. You photograph the receipt on your phone right after buying, text recognition reads amount, date and supplier and files it in line with GoBD rules. At year end you export income surplus, DATEV or CSV for your accountant. For small businesses under section 19 of the German VAT act, Buchungsfluss issues invoices without VAT and adds the required note, so the invoice is formally correct.

Frequently asked questions

Can I record hours while on site?

Yes, from your phone browser on site. The times stay with the job and move into the invoice when you write it.

How do partial invoices work?

You issue interim invoices during the project. The final invoice lists the full scope and deducts the partial payments already made, so the outstanding balance is correct.

Can I turn a quote into an invoice?

Yes, with one click. Line items, quantities and customer data are carried over, you enter nothing twice.

Does it make sense for a sole trader without employees?

Especially then. The free Start plan covers invoices and quotes; time tracking and dunning come with the Pro plan at 9 euro per month.

What about material costs?

You create materials as products and use them in quotes and invoices. Purchased material is captured as a receipt so it appears as a business expense in the income surplus calculation.
